Tutorful

Founded in 2015, Tutorful is an online education company helping students of all ages across the UK and ROI connect with a suitable online tutor. Having completed over 1.5 million hours of tutoring, Tutorful covers a range of subjects - from Maths to Mandarin; Accounting to Art. All tutors are rigorously vetted, and every lesson is booked and paid for on their site. Tutorful also collaborates with tutors to create a tailored learning plan for their students.

Tutorful tasked us with migrating more than 200 campaigns to Braze from their previous ESPs (Tutorful used SendGrid for transactional emails and Drip for marketing). Eager to get as many of these live in Braze as possible for the return of schools and universities in September, Tutorful enlisted our services in early summer ‘24. The core focus areas for us would be recreating campaigns and canvases (multi-channel) in Braze, developing journeys, working with their engineers on data and events, QA, and end-to-end testing.

The brief

We are immensely grateful to the Chameleon team for everything they did to ensure our migration to Braze was completed on time. They had to work towards a tight deadline, but at no stage did they cut any corners – on the contrary, they worked diligently, and were proactive in suggesting ways that we could optimise and/or simplify our campaigns. A special mention must go to Nicola, who went the extra mile to ensure we completed the migration ahead of schedule, and who collaborated so well with our engineering and MarTech teams. We could not have got over the line without her, and we are already starting to reap the benefits of Braze as our ESP.

Client verdict

More than 80% of Tutorful’s CRM estate had been migrated by the second week of September, leaving them well-placed to leverage Braze to drive acquisition and retention. The remainder of their campaigns were fully migrated before the end of October – well before their existing ESPs were due to be decommissioned. Although the process was an intensive one, the excellent working relationship we built with their team ensured that the migration was largely seamless, leaving Tutorful with an optimised, well-functioning CRM estate which simplified day-to-day management and oversight.

Steps to success

  • Collaborated with Tutorful to set up multiple documents as part of the planning process. These documents mapped out the entire CRM estate, helping to streamline workflows by making it easy to align templates with events, event properties, field names and attributes

  • Prioritised campaigns in order of importance

  • Rebuilt all campaigns and canvases, primarily using drag-and-drop templates for email. Also used the opportunity to optimise pre-existing journeys, and weave in greater use of SMS and push notifications

  • Thorough QA of all templates, campaigns and canvases, followed by full end-to-end testing. Used a third-party API platform to trigger events, enabling us to validate both the journey setup and that event properties were pulling through as expected

  • Continuous communication via Slack, plus daily calls with the Tutorful engineers to provide progress updates and discuss any blockers
